The question

You have seen an advertisement for a weekend visitor assistant at a local history museum. Write a letter to the museum manager. Explain why you are interested in the role, describe relevant experience, and give details of your availability.

The sample answer

Dear Sir or Madam, I am writing to apply for the weekend visitor assistant position advertised on your museum's website. I recently attended your exhibition on the town's railway history and particularly enjoyed the personal accounts from former railway workers. I would welcome the opportunity to help other visitors find their way around the museum and engage with its collections.

For the past year, I have volunteered at a community arts centre on Saturday afternoons. My responsibilities include welcoming groups, checking booking records and answering visitor enquiries about events and facilities. When several groups arrive together, I confirm their bookings before directing them to the appropriate rooms. This has given me practice in explaining information clearly while keeping track of practical details. I believe these skills would be useful when assisting your museum's visitors.

My current volunteering commitment ends on 31 October, so I could start on the first weekend of November. From then on, I would be available on Saturdays from 9 a.m. to 5 p.m. and Sundays from 10 a.m. to 4 p.m. I am also available for an interview on Wednesday afternoons or Friday mornings before that date.

Please let me know whether these hours fit the advertised position and if you would like any further information about my experience. Thank you for considering my application. I look forward to hearing from you. Yours faithfully, Alex Morgan

Vocabulary in context

Each phrase appears in the answer above. Learn how it works, not just a replacement word.

booking records
Information kept about reservations and the people or groups expected.

This gives a concrete responsibility. Explain what you did with the records rather than listing the phrase as an unsupported skill.

visitor enquiries
Questions from people visiting a place or using its facilities.

The sample names what the questions concerned, making the claimed communication experience more specific.

available for an interview
Able to attend a meeting to discuss an application at stated times.

Distinguish interview times from the hours you could work, and keep both consistent with other commitments.

Now make it your own

Replace the arts-centre background with a different fictional experience that could support visitor work. Write two concrete responsibilities and explain their relevance. Then revise the availability paragraph for someone whose current Saturday commitment continues until the end of November; do not offer the same hours to both organisations.

For a smaller practice step, use the explanation, knowledge check and self-review exercise in Write a letter with purpose and tone.
